Position
Overview
Envita Medical Center is seeking a detail-oriented and proactive Patient Administrative Coordinator (PAC) to join our dedicated team. This role works closely with assigned Patient Care Coordinators (PCCs), Patient Floor Coordinators (PFCs), patient care teams, and patients to ensure the seamless coordination of labs, referrals, and other administrative processes. The ideal candidate thrives in a fast-paced, collaborative environment and is passionate about providing exceptional patient care and support.

Responsibilities
Participate in daily morning planning sessions and end-of-day debriefs.
Engage with patients in-person, via phone, and through email. Provide timely updates and patient handouts as needed.
Collaborate effectively with other departments including phlebotomy, nursing, physicians, billing, and external lab representatives.
Utilize lab quotes to ensure accurate draw orders.
Navigate and utilize the EMR system thoroughly, including patient chart updates and order verifications.
Prepare lab kits and requisition forms for both in-clinic and remote phlebotomy.
Maintain and update task planners, assigning, monitoring, and auditing task progress to ensure timely completion.
Track lab results using lab portals and spreadsheets, ensuring prompt turnaround and follow-up on any delayed or missing results.
Communicate all pertinent updates to care teams in a timely and accurate manner.
Coordinate proper quoting and billing for out-of-pocket labs in collaboration with Patient Billing Representatives.
Process lab orders in accordance with LabCorp/Sonora Quest and specialty lab requirements.
Educate patients on lab processes and requisition form details to ensure understanding and comfort.
Manage and schedule all external referrals per physician orders, considering patient logistics and needs.
Design, prepare, and distribute appointment cards to patients with accurate and clear scheduling information.
Support administrative duties as needed (phones, scanning, uploading, filing, etc.).
Utilize all internal communication and organizational tools such as Practice Fusion, Microsoft Teams, Outlook, SharePoint, Planner, Intermedia Unite, Salesforce, and Trainual.
Respond to real-time updates and requests with agility and professionalism.
Adhere to all HIPAA, OSHA, internal policies, SOPs, and employee handbook regulations.
Requirements
1–2 years of experience in a medical or administrative support role
Strong communication and organizational skills
Proficient in EMR systems and Microsoft Office (Outlook, Teams, Excel)
Detail-oriented with the ability to multitask in a fast-paced environment
Team player with a patient-first mindset
Comfortable adapting to evolving responsibilities
Knowledge of HIPAA and OSHA compliance standards
