Hope Springs Mental Health Clinic is seeking a dependable, organized, and highly proactive Licensed Practical Nurse (LPN) to serve as a Psychiatric Clinical Coordinator in our growing outpatient mental health practice.

This position combines direct patient care, psychiatric nursing support, patient coordination, and clinical administrative responsibilities. We are looking for an LPN who takes initiative, anticipates clinic needs, follows tasks through to completion, and can work independently without requiring constant reminders.

The right candidate will become an important part of the clinic's daily operations and work closely with the psychiatric provider to ensure patients receive timely, organized, and compassionate care.

Key responsibilities

Psychiatric Nursing & Patient Care

• Obtain and accurately document vital signs, medication lists, allergies, and other clinical information in the EHR.
• Assist with psychiatric medication-management visits and patient intake.
• Communicate medication concerns, side effects, refill requests, abnormal vital signs, and changes in patient condition to the provider.
• Administer injections and other ordered treatments within the LPN scope of practice.
• Assist with laboratory follow-up, referrals, medical records, and coordination of care.

Spravato (Esketamine) Treatment

• Assist with Spravato (esketamine) administration and monitoring according to provider orders, clinic protocols, applicable nursing scope of practice, and REMS requirements.
• Prepare patients and treatment rooms for scheduled treatments.
• Obtain and document required pre-treatment, during-treatment, and post-treatment vital signs and observations.
• Monitor patients throughout the required observation period and promptly communicate clinical concerns to the provider.
• Assist with REMS documentation, treatment scheduling, specialty pharmacy coordination, medication delivery, and inventory.

Medication Prior Authorizations

• Complete and track medication prior authorizations through electronic portals, insurance companies, pharmacies, and other required channels.
• Gather and submit necessary clinical documentation.
• Track pending authorizations, approvals, denials, renewals, and requests for additional information.
• Assist with appeals when appropriate.
• Communicate authorization outcomes with patients, providers, pharmacies, and specialty pharmacies.
• Proactively follow prior authorizations through to completion rather than waiting for someone to request an update.

Insurance Verification & New Patient Coordination

• Verify insurance eligibility and benefits for new and established patients prior to appointments.
• Identify inactive coverage, authorization requirements, missing insurance information, or other potential issues before scheduled visits.
• Assist with new-patient registration and onboarding.
• Ensure required demographics, insurance information, consent forms, questionnaires, and other paperwork are completed prior to appointments.
• Contact patients regarding missing information or documentation and follow through until requirements are completed.
• Help prevent avoidable appointment delays caused by incomplete registration, insurance verification, or paperwork.

Scheduling & EHR Management

• Schedule and reschedule new and established patient appointments through the EHR.
• Coordinate medication-management appointments, Spravato treatments, injections, and other clinical visits.
• Proactively review upcoming schedules and identify missing paperwork, insurance verification, required follow-ups, scheduling conflicts, or other concerns.
• Manage and appropriately route patient calls, EHR messages, refill requests, and clinical concerns.
• Maintain accurate and timely EHR documentation.

Clinic Operations

• Communicate professionally with patients, pharmacies, specialty pharmacies, insurance companies, laboratories, and outside healthcare providers.
• Assist with prescription-related communications, forms, faxes, medical-record requests, scanning/uploading documents, and other clinical paperwork.
• Maintain treatment rooms, clinical supplies, and medication inventory.
• Monitor supplies and expiration dates and initiate reordering before supplies run out.
• Maintain HIPAA compliance and patient confidentiality.
• Assist with other LPN and clinical support responsibilities necessary to keep the practice operating efficiently.

Required qualifications

• Current and active Oklahoma Licensed Practical Nurse (LPN) license
• Graduate of an accredited practical nursing program
• Current BLS/CPR certification or ability to obtain/maintain certification
• Strong computer and EHR skills
• Excellent organizational, communication, and time-management skills
• Ability to accurately obtain and document patient vital signs
• Ability to maintain HIPAA compliance and patient confidentiality
• Ability to work independently while collaborating closely with the psychiatric provider

Preferred experience

Preference will be given to candidates with experience in

• Psychiatry or behavioral health
• Outpatient medical or psychiatric practice
• Spravato (esketamine) treatment and REMS requirements
• Medication prior authorizations
• CoverMyMeds or similar prior authorization platforms
• Insurance eligibility and benefit verification
• New-patient intake and onboarding
• Specialty pharmacy coordination
• Psychiatric medications
• Injection administration
• EHR scheduling, documentation, and patient communication

Spravato experience is preferred but not required. Appropriate training can be provided to the right candidate.

Compensation

Competitive and negotiable based on experience, qualifications, and relevant skill set.

Compensation will be discussed during the interview process. Consideration will be given to the candidate's overall experience, level of independence, psychiatric or outpatient background, prior authorization expertise, insurance verification experience, Spravato knowledge, EHR proficiency, and ability to effectively coordinate clinical workflows.
